How is ARKES useful?

ARKES documentation about Exchange Server configuration can be used to perform disaster recovery documentation, audits and to manage security policies across the enterprise. It helps Exchange Server Administrators to have sufficient information about the baseline configuration information and Exchange-specific settings within the organization.

What's the difference between Built-in Reports and Hierarchy Reports?

Built-in Reports feature provides several out-of-the-box reports across Exchange Sites / Administrative groups / Servers in the Exchange Organization. It provides a quick and easy to use report wizard to select the report, connect to the server and specify the report parameters to generate a report.

Hierarchy reports feature enable you to view the Exchange objects' information in the native Exchange Server hierarchy. Exchange objects are represented in the familiar format as tabs and properties, as seen in the Directory Server / Exchange Server.

What permissions are required to connect to an Exchange Server in the network? 

To connect to an Exchange Server on the network, the currently logged-on user or the user-credentials provided for login should have:
 

Exchange Server 5.5: Admin permissions in Exchange Server. To view any secure information such as Protocols, Permissions information, the credentials should have 'Permissions Admin' role in the Organization, Site and Configuration containers.

Exchange Server 2007 / 2003 / 2000: Exchange View Only Administrator role in the Exchange Organization. To view any secure information such as Security information, the credentials should have 'Exchange Administrator' role in the Organization container.

What mailbox rights are required to view mailbox related information?

For Basic information: The currently logged-on user or the user-credentials provided for login should have:

Admin permissions in Exchange Server (Exchange Server 5.5)

Exchange View Only Administrator role in the Exchange Organization (Exchange Server 2007 / 2003 / 2000)

For Secure information (Security): The currently logged-on user or the user-credentials provided for login should have:

Using the Data Dump tool, you can Export or Print whole or part information about various Exchange Server objects in a single instance. You can export configuration data to MS-Access, MS-Excel, HTML or CSV file format or direct it to a local/network printer. Export the configuration data to MS-Access or MS-Excel to perform further analysis of Exchange data.

What is a report scope?

Report scope refers to the data range for which the data should be collected for any object in the Exchange Hierarchy.

For example, Mailbox Store information can be collected for all mailbox stores residing in: 
a) all or specific storage groups across servers in the Exchange Organization
b) all or specific servers in the Exchange Organization
c) all or specific administrative groups in the Exchange Organization

ARKES supports Exchange Server 2007, 2003, 2000 and 5.5 versions from within the same application.

Does ARKES support Exchange Server 2007?

ARKES provides basic support for Microsoft Exchange Server 2007. Currently, ARKES does not report about the new objects (such as Managed Folders, Unified Messaging, Exchange ActiveSync) introduced in Microsoft Exchange Server 2007. We plan to include the new objects in the next version release of ARKES.

You can select the fields of interest to you, while generating an Exchange Server report. You can customize the fields (properties) displayed in a report for a given tab and selected Exchange Server object using the Custom View or Report View feature. Why is Microsoft Outlook or Exchange Server 5.5 Administrator Program a system requirement to run ARKES?

ARKES uses Microsoft Outlook (mailbox) profile to retrieve Mailbox and Public Folder Information Store resource information and Public Folder client permissions. You can create and manage mailbox profiles after installing Microsoft Outlook or Exchange Server 5.5 Administrator Program. ARKES requires mailbox profiles to view resource reports in the user context specified in the mailbox profile.

Why does ARKES require a mailbox profile?

Since resource information (mail items and attachments in mailboxes, public folder items) are stored in Exchange Information Store, ARKES requires a mailbox profile to connect to the Exchange Server and retrieve those information. This action is similar to viewing contents of mailbox/public folders through Microsoft Outlook.

When does ARKES refresh report data for any Directory Server?

ARKES refreshes report data under the following conditions:

  1. During a first time connection to the Directory Server

  2. When a user selects a new directory server that is different from the current active server in the Connection Manager.

  3. When you 'Edit Directory Server' in the Connection Manager and connect to the Directory Server afresh, irrespective of the credentials being changed.

  4. When you manually refresh using the Refresh button in the toolbar in report window.

Can I run a report at periodic intervals in ARKES?

Using the Task Manager tool, you can schedule reports to run at scheduled intervals. Refer to Task Manager section in ARKES Help for more information.

Yes, ARKES allows you to create multiple tasks scheduled to run at the same time.

Can I view the history information for a task created using Task Manager?

Yes, ARKES allows you to view the history information for a task created using Task Manager. To view, go to Task Manager->Task History. You can view the task run times and reports configured in the task and exported files in the task history.

The application error log file "ARKESErrorLog.log" is gradually increasing in size. Can I delete it?

Yes, you may manually delete this error log file when ARKES is not running. ARKES generates an error log file in the application path "C:\Program Files\ARKES". The error log file tends to increase in size over a period of time especially if the application meets with frequent error conditions. The application does an "append" to the error log each time it runs. This is required for diagnostic purposes during troubleshooting. You may delete the error log file periodically.

How do I view the recipients information in the Exchange Server using Hierarchy Reports?

Exchange Server 5.5:  You can see the Recipients (Mailboxes/Distribution Lists/Custom Recipients/Public Folders) information under the Recipients container under the Site container under the Organization container.

Exchange Server 2007 / 2003 / 2000: You can see the Recipients (Mailbox-Enabled User/Mail-Enabled User/Mail-Enabled Group and Contact) information under the Recipients container under the Organization container.

Exchange Server 5.5: You can see the Recipients (Mailboxes/Distribution Lists/Custom Recipients/Public Folders) information under the Recipient Reports node.

How do I export the report into HTML/CSV/XLS/MDB format?

Once you select an Exchange Server in the network, you can export the tab-level report into HTML/CSV/XLS/MDB format using Export feature in ARKES.

Click  button in the report window. 

Choose your desired format (such as HTML, CSV, XLS, MDB) and give a file name to export the report

If you choose MDB format (Microsoft Access MDBs), give the database name and table name to export the report

If you choose XLS format (Microsoft Excel XLSs), give the sheet name to export the report

Click OK

What is the database structure when I export Exchange Server data to an MS-Access database?

When you export Exchange Server data to an MS-Access database:
 
In DataDump feature – A new database is created for each server and the tables contain each tab-level information. The naming convention for the database is SERVERNAME_MM_DD_YYYY_HH_MM_SS.mdb. Each tab is stored as a separate table with the tab name.

In single export feature - Current view data will be stored in the given table and database.

How do I modify the field order and group by field list of a report?

You can modify the field order, default group by field and available group by fields of the Built-in/Custom Report report data using the Report View feature. You can also group by any of the available group by fields in the report window. For further reference, you can refer to the online help.

How can I create and save my custom report?

Apart from the default reports, you can create custom reports for the selected Exchange Server version, containing the desired fields (properties) for various objects in Exchange Server. To create and save custom reports, you can click Save Custom Report button in the toolbar available in the report window or press CTRL + U to launch Save Custom Report window and create a new custom report. For further reference, you can refer to the online help.

How do I retrieve the latest information from the Exchange Server or how to refresh the Exchange Server information?

By default, ARKES will display the information of the connected Exchange Server. Any change in settings made in the connected Exchange Server through any application such as Administrator Program, will not be reflected in ARKES until the data is refreshed. 

Click button in the toolbar available in the report window or press CTRL + R to refresh report data. The existing data will be cleared and latest data will be loaded in the report window.

For further reference about auto-refreshing of data by ARKES, you can refer to General FAQ #17.

Why I am not able to view the list of objects under Organization container in Exchange 2007 / 2003 / 2000 server?

The currently logged on user or supplied credential does not have permissions to view the objects and their properties under Organization container. Retry by entering the Admin credential.

Why am I unable to view the hidden recipients in the recipient reports?

The Exchange is not connected using explicit credential. Connect using "Specify user account" option in Exchange Server Connection Manager with the explicit Exchange admin credential.

Why am I unable to view the protocol information for certain mailboxes? 

Protocol information for any particular mailbox will be displayed only if there is any change in the protocol settings of the mailbox.

Why am I unable to view the distribution list information for certain objects?

The currently logged on user or supplied credential does not have Admin permissions in that object. Retry by entering the Admin credential.

Can I export multiple Exchange Directory objects' information in a single instance?

Data Dump feature allows you to export/print the desired information (tabs) for multiple objects in the connected server in a single instance.

How can I use the Filter tool effectively?

When the number of records is very large, you can selectively view only the required records by applying necessary filters to fields. For example, if you want to see the list of users whose accounts have been ‘disabled’. You can use the Filter tool to view filtered information quickly. Filter tool builds a query matching your requirements and displays the required records.

Select the field on which you want to filter from the Field dropdown. Select the operator and the value for the field. Add the condition to the filter by either clicking ‘And’/‘Or’ to Filter.

Example Filter Query: 
Accept Messages From = "mailbox2" 
AND (Reject Messages From = "mailbox3" 
OR Reject Messages From = "mailbox4") 


This query will display the list of mailboxes which will accept messages only from mailbox2 and reject messages from either mailbox3 or mailbox4. Note the use of parentheses. Without parentheses, the AND operator takes precedence over the OR operator.

How to troubleshoot connection issues?

To troubleshoot the connection issues, while connecting to remote Exchange Server, verify the following settings in the remote server: 

Exchange Server 2007 / 2003 / 2000
  • Check for the following permissions for the currently logged-on user/supplied credential in the Organization, Administrative Group and Server objects

    1. Read 

    2. Write 

    3. Read properties 

    4. Read metabase properties 

    5. Read permission

  • To perform the above operations, please follow the steps given below:

    Start the Exchange System Manager program.

    Right click the Organization container and click Properties in the right-click menu. Add the user and the specify the required permissions.

    Right click the Administrative Groups container and click Properties in the right-click menu. Add the user and the specify the required permissions.

    Expand the Administrative Groups container and select the desired Administrative Group. Right click the selected administrative group and click Properties in the right-click menu. Add the user and the specify the required permissions.

    Expand the Administrative Group container and select the desired Exchange Server. Right click the selected server and click Properties in the right-click menu. Add the user and the specify the required permissions.

    Exchange Server 5.5

    Enable Lightweight Directory Access Protocol (LDAP) protocol at the site or server level in the Exchange Server. 

    Enable Windows NT Challenge/Response at the Site/Server level. 

    Enable Basic (Clear Text) at the Site/Server level to connect using different user credential. 

    Enable Anonymous Access at the Site/Server level.

    To perform the above operations, please follow the steps given below:

    1. Start the Exchange Server Administrator program.

    2. Click the Site container in which the server is located, click the Configuration container, and then click the Protocols object. 

    3. Verify that the Protocol Enabled option is enabled. 

    4. Open the LDAP (Directory) Site Defaults object, and click the Authentication tab. 

    5. Verify that the Windows NT Challenge/Response, Basic (Clear Text) options are enabled. 

    6. Open the LDAP (Directory) Site Defaults object, and click the Anonymous tab. 

    7. Verify that the Allow Anonymous Access option is enabled. 

    8. Now that you have verified the site settings, you need to verify the server settings. To do this, click the Protocols object of the server that you are connecting to. 

    9. Open the LDAP (Directory) Settings object, and click the Authentication tab. 

    10. Verify that the Windows NT Challenge/Response Basic (Clear Text) options are enabled. i. Open the LDAP (Directory) Settings object, and click the Anonymous tab. 

    11. Verify that the Allow Anonymous Access option is enabled.
